The Finance Division of the Government of Pakistan invites applications for the position of Assistant Private Secretary (BS-16) on an initial one-year contract (extendable). As the Assistant Private Secretary, you will provide critical secretarial and administrative support to senior Finance Division officials in Islamabad, ensuring the smooth flow of official correspondence, meeting coordination, and document management. This role demands excellent shorthand and typing skills, strong computer literacy, and the ability to handle sensitive information with discretion.

🌟 Role & Key Responsibilities

As an Assistant Private Secretary, you will be entrusted with:

  1. Calendar & Meeting Management 📆
    • Coordinate the Principal Secretary’s diary, scheduling appointments, briefings, and inter-ministerial meetings.
    • Arrange meeting venues, prepare agendas, and distribute materials in advance.
  2. Correspondence & Document Preparation 📝
    • Draft, proofread, and format official letters, memos, and reports in both English and Urdu.
    • Maintain confidentiality and ensure timely dispatch of documents.
  3. Shorthand & Transcription ✍️
    • Accurately transcribe speeches, meeting notes, and oral directives at 100 wpm shorthand.
    • Convert shorthand notes into clean typed documents at 50 wpm.
  4. Filing & Record Keeping 📂
    • Implement a logical filing system—both electronic and paper—for quick retrieval.
    • Track document status and follow up on pending items.
  5. IT & Office Equipment Operation 💻
    • Utilize MS Office Suite (Word, Excel, PowerPoint) to compile data, prepare presentations, and manage logs.
    • Operate printers, scanners, projectors, and video-conferencing tools.
  6. Liaison & Coordination 🤝
    • Serve as the first point of contact for internal staff, other ministries, and external stakeholders.
    • Facilitate smooth communication channels and escalate urgent matters appropriately.
  7. Secretarial Support 🔐
    • Handle confidential files, personal correspondence, and classified documents with integrity.
